Classification:    Part-time; revisited after probationary period 

Supervisor:        Pastor

Hours:        6 hours a day/4 days a week

Pay:        $18/hr for probationary period then a review for an increase

Work location:    On-site

Organizational Relationships:

The Church Office Manager reports to and will be reviewed by the Pastor after a probation period, annually, and as needed.


Tasks and Responsibilities:

Daily functions of the office: answering and returning phone calls, distributing mail, responding to emails, invoices, filing, name tags for members and new visitors, etc.

Maintain church membership in Plymouth database and in printed form 

Maintain the church directory and update contact information when needed 

Produce weekly newsletter

Maintain communication campaigns (includes scheduling, editing the campaign release dates, content, and contact list used)

Manage alarm codes in the SimpliSafe website

Maintain church key log & alarm codes given to members

Help Church Council members with questions on processes/procedures

Purchase facility, worship, and office supplies

Complete annual United Church of Christ South Central Conference (SCC) reports

Compile/format & print Plymouth Annual report for January congregational meeting

Contact person/email for most Plymouth accounts (Constant Contact, Amazon, Spring Creek PUD, Just Energy, worship supplies, music licensing, SimpleSafe, ect.)

Maintain and update spreadsheet for all accounts

Make travel arrangements for Pastor and Church Council members when needed for church matters

Prepare communications for visitors with the Pastor 

Produce and maintain spreadsheet of Stewardship campaign card responses

Serve as liaison to outside organizations (i.e. Scouts, Spring Interfaith Council, etc.)

Provide historical information about Plymouth which includes writing letters of charter details for various organizations when needed

Schedule any ceremonies when requested for usage of the building including assigning a designated person responsible for opening and closing of the facilities user and confirming all contracts have been completed and received prior to event

Maintain personnel files

Assist Pastor with other duties as needed

Maintain Plymouth App and Google Calendar for Plymouth events and meetings

Produce weekly & special services Worship Leader and Pastor scripts, bulletins, cheat sheets, and PowerPoint presentations. 

Print/email/distribute worship documents once completed

Maintain volunteer scheduling (AV, Worship Leaders, Fellowship) 

Maintain worship information spreadsheet for each worship service

Publish/create order forms for seasonal service flower arrangements

Enter events into social media (i.e. Facebook, Instagram, etc.)

Create and upload videos for TikTok, Instragram, and other social media sites

Schedule YouTube streams for worship services and special events


The Church Office Manager is responsible for performing other duties as required by the Pastor and/or Plymouth Church Council.


Qualifications:

Proven ability to manage calendars, schedule volunteers, handle phone/email correspondence, and maintain filing systems (digital and physical)

Strong command of Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.

Experience with Church Management Software (ChMS)

Basic ability to manage social media or update the church website

Basic bookkeeping knowledge (accounts payable/receivable, and donation recording) Knowledge of Quickbooks is preferred

Must possess superior English composition skills to serve as the primary editor for church communications, ensuring all bulletins, scripts, and announcements are error-free and professionally written

Ability to handle sensitive information (counseling appointments, giving records, prayer requests) with strict confidentiality

Possess welcoming and empathetic demeanor

Ability to work independently, prioritize conflicting demands, and anticipate the needs of  the Pastor and congregation

Associate’s or Bachelor’s degree in Business Administration or an equivalent related experience is preferred

2–5 years of administrative experience, preferably in a non-profit or ministry setting.


In execution of standard job responsibilities, the following are anticipated physical activities:

Extensive time is spent sitting at a desk using a computer in the execution of standard job responsibilities 

Sufficient visual acuity in order to proofread multi-page documents in various formats

Frequently moves around the facility

Occasional lift, moving, and carry items 20 to 25 pounds
